Policy

DEPOSITS

A deposit of $5,000 is required to reserve Le Belvédère. A $3000 deposit is required 6 months prior to your event date. All checks are made payable to Wakefield Belvedere Inc.

BILLING

The balance of the Banquet Event Order (BEO) (based on the final estimate) less prepaid amounts and deposits, is due 10 days prior to the event with a certified cheque and/or credit card.

A valid credit card number is mandatory to clear any balance due after the event. The client is personally liable for the payment of the full amount of the deposits and invoices, unless a written agreement is reached between the client and Le Belvédère allowing for other billing arrangements.

GUEST COUNT

A 100 guest minimum must be met to host any event on a Saturday from April 1st to December 1st unless otherwise discussed with the venue. Client will cover the full per person cost for the difference if this minimum is not met.

CANCELLATIONS

In the event of a cancellation by the client 5 months or more prior to the event, Le Belvédère shall retain the initial deposit received by the client as liquidated damages.

In the event of a cancellation 5 months to 60 days before the date of the event, Le Belvédère shall retain the initial deposits and, in addition to the deposit, the client shall be required to pay 25% of the BEO (approx guest count times anticipated food and beverage revenues)

In the event of a cancellation less than 2 months and more than 7 days prior to the date of the event, Le Belvédère shall retain the initial deposits and, in addition to the deposit, the client shall be required to pay 50% of the BEO.

In the event of a cancellation less than 7 days prior to the date of the event, Le Belvédère shall retain the initial
deposits and the client shall be required to pay the balance of the BEO.

In all such cases, the client is responsible for advising his/her outside suppliers and all guests. The client is also
responsible for the payment of all expenses and/or penalties that such suppliers may require. Le Belvédère assumes no responsibility in this regard.

FOOD AND BEVERAGE

Le Belvédère is licensed to serve food and beverages. No food or beverages may be brought into Le Belvédère unless agreed upon in advance. Le Belvédère prohibits that food and beverages left over from an event be taken off the
premises.

No menu changes will be allowed the night of the event. However, we are pleased to provide for special dietary
restrictions including vegetarian menus and allergies providing 10 days advance notice is given.

You may reduce the number of anticipated guests by 5% provided you send notice of the reduction to Le Belvédère at least 7 days prior to the event. You will be responsible for the anticipated food and beverage revenues based on actual prices for the selected items for any reduction of guests within 7 days of the event.

Please note the PST (Provincial Sales Tax of 9.75%) and GST (Goods and Services Tax of 5%) are applicable to all prices. A 15% service charge (Gratuity) is applicable to all food and beverage.

The client is responsible for ensuring compliance with the minimum age for the consumption of alcoholic
beverages (18 years). Le Belvédère reserves the right to require proof of age. No liquor service is permitted after 1:00 am and the function room should be vacated no later than 1:30 am.

SOCAN FEES (The Society of Composers, Authors and Music Publishers of Canada)

SOCAN is the Canadian copyright collective for the public performance of musical works. They are in charge of administering the performing rights of their members (composers, lyricists, songwriters and their publishers) and those of affiliated international societies by licensing the use of their music in Canada. Fee for Le Belvedere is $120 including applicable tax

SECURITY

Please note that Le Belvédère is not responsible for lost or damaged items that have been rented or delivered prior, during or following an event. All decorations must be removed at the end of the night unless otherwise discussed with the venue.
